DRAFT Minutes of the twelfth Annual General Meeting of CAMdfas,
held on 11th April 2011 at 7.45 pm
in the McCrum Lecture Theatre, Bene't Street, Cambridge
1 CHAIRMAN'S OPENING REMARKS:
The Chairman welcomed members, new members and guests to the twelfth Annual General Meeting and thanked them for their attendance.
He drew attention to the requisite papers viz: Notice of the twelfth AGM and Agenda, previously circulated; Minutes of the 2010 AGM, Chairman's and Treasurer's reports and a list of the proposed committee for 2011/2012, copies of which had been available at the desk, together with reports on the following activities - Young Arts support, Heritage Volunteers, Church Recording.

3. MINUTES OF THE ELEVENTH ANNUAL GENERAL MEETING:
These had been circulated and had been on our website and, in the absence of any comments from members, were adopted as a correct record.
4. OFFICERS' REPORTS:
Chairman: Robin Fox
A detailed written report was available. The Chairman reported that we have had a good year in every respect and highlighted that: Colette has provided us with some excellent lectures on a wide variety of subjects; Valerie has taken us to some fascinating destinations and also arranged an excellent study day at the Gauguin Exhibition at the Tate Modern; we have continued the development of our website; we have maintained our membership at just under 200; we have managed our finances so as to reduce our reserves a little; we participated in a successful joint concert organised by the four Cambridge NADFAS Societies; we have continued our support for Young Arts projects , initiated Heritage Volunteer projects and introduced the possibility of a Church Recorders group.
The Chairman thanked all Committee members for their efforts and Martin Gienke for his invaluable support for the technical aspects of the meetings. Five committee members -Christopher Gravatt, a former Treasurer and Chairman; Colette Auton our recent Programme Secretary; Keith Humphreys, our Vice-chairman and Committee members Jon and Penny Pither.- are retiring and appreciation was expressed to them for their valuable contributions.The Chairman also thanked the members for helping to make CAMDFAS an enjoyable society and for their considerable support at meetings and on visits.
Treasurer: Roderick Ashby - Johnson
A detailed written report was available.
The Treasurer reported that, in accordance with NADFAS National policy, we are working to reduce our reserves by about £1000 per year. There has been a loss of £631 but this is in line with our aim and subscriptions will remain at £35 until 2013/14.
The number of members is steady but we really need to recruit a further 10. Lecture costs were 10% up on last year and the cost for the McCrum lecture theatre is 50% up on that for our previous venue. The visits programme usually has a surplus and, in general, our gift aid rebate is used to support our Young Arts donations.
The Treasurer thanked Mary Cooksey for auditing the accounts and proposed that she should be re-appointed as auditor for the 2011- 2012 session.
The accounts were presented and adoption was proposed and seconded from the floor.
5. COMMITTEE
A full list had been issued at the desk. Apart from the five resignations noted above, the remaining Committee members are willing to continue to serve together with Pamela Marcuson, who has agreed to join. (Proposed: Robin Fox;seconded: Colette Auton).This leaves us 3 below the prescribed number, so co-options will be sought during the year. The Chair should change after 3 years but, in the absence of an immediate replacement, Robin Fox agreed to remain in office for a further year, to be replaced at that stage by Rod. Ashby-Johnson, who has agreed to stand as Vice-Chairman.
A proposal that this committee should be elected en bloc was seconded and carried unanimously.
